Q&A

What Positions are available?
All positions. Every board director has to reapply, therefore any position is up for grabs. All positions can be co-directors aside from the executive committee. Additionally, board directors can manage their own committee.

Who can apply?:
Anyone! However, board directors must be an AD2SF member, if one is not a member and he/she gets elected they will have to sign up to be AD2SF member as soon as possible.

Can I nominate someone?
Yes, go for it!

How does this benefit myself?
Here’s your chance to make a difference within the advertising community and gain leadership experience outside your current job. Are there any ideas, topics, movements that you will like to discuss or act upon? Speak up, bring your vision, and we will do our best to make it happen together! 2014 – 2015 AD2SF Board of Directors Description

Executive Committee

President
The President shall be the chief executive officer of AD2SF and as such provides active leadership for AD2SF. He/she shall preside over all meetings and represent it in all necessary capacities not delegated to the other officers. The President will also act as AD2SF’s primary liaison with the American Advertising Federation (AAF) and AD2 National.

Other responsibilities include:

  • Signing all written contracts and obligations, which must have prior approval of the Board of Directors to be legal and binding
  • Approving all AD2SF budgets, brought forth by the Treasurer
  • Attend all national and regional AAF and AD2 conferences
  • Conduct 2 on 1’s with the Vice President and each Board of Director to ensure we are meeting all expectations, opportunities and fairness to each board director
  • Oversee and Mentor two board director positions (2013-2014 – Education & Public Service)
  • Conduct Executive Board of Directors Monthly meetings

The President is automatically a member of all board committees.

Vice President

The Vice President shall assist the President in all his/her duties and shall be vested with all the powers and perform all duties of the President in the absence or disability of the latter.

Other responsibilities include:

  • Developing new relationships and maintaining a constant outreach with the Bay Area advertising and communications communities
  • Attracting and retaining club sponsors
  • Conduct 2 on 1’s with the President and each Board of Director to ensure we are meeting all expectations, opportunities and fairness to each board director
  • Oversee and Mentor two board director positions (2013-2014 – Creative & Government Relations)
  • Attend all Executive Board of Directors Monthly meetings

The Vice President is automatically a member of the Public Service committee.

Secretary
The Secretary shall give written notice of all AD2SF meetings and keep the minutes of each meeting. He/She shall conduct AD2SF correspondences under the direction of the Board of Directors and/or the President, send out all notices, handle all mail, and keep records of AD2SF.

Other responsibilities include:

  • Writing and mailing thank you cards and gifts
  • Compiling information for and sending monthly newsletters
  • Oversee and Mentor two board director positions (2013-2014 – Communications & Diversity)
  • Attend all Executive Board of Directors Monthly meetings

Treasurer
The Treasurer shall supervise, under the control of the Board of Directors, the finances of AD2SF, in a bank selected by the Board of Directors. He/She shall collect all sums due from all sources, issue receipts and make authorized reimbursements.

Other responsibilities include:

  • Submitting all budgets to the President for approval
  • Approving and advising all budgets for programs
  • Managing PayPal transactions
  • Organizing all financial documents and paperwork
  • Filing yearly taxes with state and federal governments
  • Oversee and Mentor two board director positions (2013-2014 – Membership & Programs)
  • Attend all Executive Board of Directors Monthly meetings

Board of Directors

Creative Co-Directors
The Creative Directors shall create and manage AD2SF creative strategy, art direction and creative assets, as well work with the communications committee efforts on behalf of AD2SF or its public service clients. He/She shall create and develop advertising campaigns that promote AD2SF, secure desirable publicity and promote the overall standing of AD2SF within the community.

Other responsibilities include:

  • Developing any new creative assets needed for internal or external uses
  • Updating the AD2SF website
  • Managing all AD2SF social media profiles and outreach

The Creative Directors oversees the activities of the Creative Committee.

Communication Co-Directors
The Communications Co-Directors shall create and manage all public relations efforts on behalf of AD2SF and/or its public service clients. He/She shall create and develop advertising campaigns that promote AD2SF, secure desirable publicity and promote the overall standing of AD2SF within the community.

Other responsibilities include:

  • Managing all AD2SF social media profiles and outreach
  • Writing and distributing press releases
  • Creating an AD2SF press kit
  • Manage event or meeting promotions and announcements
  • Managing communication with nonmembers
  • Self-promotion
  • Regular communication with members

The Communication Directors oversees the activities of the Communications Committee.

Diversity Director
The Diversity Chair shall create and manage projects and programs designed to increase the minority representation in a local advertising community to more closely mirror the percentile mix of minorities in the market.

Other responsibilities:

  • Creating diversity education workshops or seminars
  • Promoting volunteerism
  • Promoting and/or developing advertising campaigns related to diversity
  • Develop and sustain business relationships with media outlets and multicultural suppliers and vendors.
  • Promoting and/or developing educational and motivational programs aimed at encouraging multicultural students to pursue careers in advertising

Education Director
The Education Director shall plan and execute programs to educate the public, advertising practitioners and the general public on the role and benefits of advertising in our society.

These programs improve the skills, professionalism and standards of current and future advertising practitioners through education as well as provide an understanding of, and confidence in, advertising and its contributions to the community and the economy.

He/She shall work with partner organizations and universities to encourage student participation. Also, He/She ensures the Student ADDYs are adequately incorporated into the ADDY Gala.

Other responsibilities include:

  • Coordinating all promotional efforts, i.e. press releases, emails to professors, social media outreach
  • Reaching out to schools and their professors to encourage student participation
  • Hosting (1) info session for students
  • Processing all entries and entry fees
  • Participating in and attending judging day and the ADDY Gala
  • Work with District 14 to forward entries to district and national level competitions
  • Producing and sending awards to contest winners

The Education Directors also oversees the activities of the Education Committee, which comprises of a student representative from each University within the San Francisco bay area.

Government Relations Director
The Government Director shall plan and develop projects and programs designed to build effective relationships with local, state and national governments. Relationships are developed through the club or federation’s work to initiate favorable legislation, contribute to the defeat of adverse legislation, educate lawmakers and promote industry self-regulation.

Other Responsibilities:

  • Study and report to the Board of Directors and pending or proposed city, state, or national legislation affecting advertising in any of its forms
  • Recommend a form of action by the Federation, if deemed necessary
  • Be responsive to the national legislative activities of the AAF when such involvement is requested
  • Attend Advertising Day of the Hill at Washington DC and represent AD2SF in April

Membership Co-Directors
The Membership Directors shall coordinate and manage all membership outreach and retention efforts. He/She shall work closely with the Programming, Public Service and Education Directors to ensure there is a membership recruitment element to all events and that AD2SF is meeting the needs of student and current members.

Other responsibilities include:

  • Processing membership applications
  • Maintaining a live list of all current members
  • Tracking membership fees, as well as AAF and AD2 National membership dues
  • Hosting at least (1) membership drive every term
  • Communicating with soon-to-be expired members
  • Answer all questions regarding membership sent to membership@ad2sf.org

The Membership Director oversees the activities of the Membership Committee.

Program Co-Directors
The Program Directors shall determine, plan, and coordinate all events and meetings hosted by AD2SF or in conjunction with other partners. He/She shall work closely with the Membership Director to ensure there is a membership recruitment element to all events.

Other responsibilities include:

  • Planning a yearly event calendar
  • Concepting event theme ideas
  • Researching and reaching out to participants
  • Confirming venues and sponsors
  • Preparing event budgets
  • Planning and executing day-off venue set-up and cleanup

The Program Directors oversees the activities of the Programs Committee.

Public Service Co-Directors
The Public Service Directors shall bring professional advertising and promotion assistance to nonprofit clients, as approved by the Board of Directors. He/She shall oversee all aspects of public service outreach and campaign development and execution. The Public Service Directors shall also work closely wit the Membership Directors to ensure that all members are encouraged to be volunteers.

Other responsibilities include:

  • Overseeing all day-to-day communications between AD2SF, clients and volunteers
  • Initiating and attending all volunteer committee meetings
  • Creating all necessary marketing collateral, client and volunteer applications, and client contracts
  • Presenting any campaigns that are entered into the AAF Public Service Competition at the annual national AAF conference

The Public Service Chair oversees the activities of the Public Service Committee.

Tech Partnerships Director
The Tech Partnerships director will serve dividends for years to come as connections with the best entrepreneurs and future ad leaders will be made mirroring AD2SF’s role in building a new generation of leadership within the ad space. San Francisco as the foremost capital of the technology and innovation in the United States, and AD2SF wants to reach out to San Francisco’s robust early stage tech startup community. The Tech Partnership Director will also increase the awareness of AD2SF within the early stage startup community both as an organization and as a possible vendor and/or service provider.

Other responsibilities include:

  • Develop the tools that will guide advertisers in the future and it makes sense to get a head start
  • Develop strategic partnerships between the young advertising community in San Francisco and the early stage startup community in regards to programming and events including an event within the first 60 days of the role bringing together startups and agency professionals
  • Develop strategic partnerships between the young advertising community in San Francisco and the early stage startup community in regards to business relationships, trial periods for new products, and mutually beneficial collaborations
  • Recruit new AD2SF executives and propose tech related programming where possible
